A simple invoice checklist before you print, save or send.
An invoice can look polished and still contain a wrong quantity, missing client name or unclear total. Use this checklist as a final review step.
1. Identify who is sending the invoice
Include the sender or business name clearly. Depending on where and how you operate, you may also need an address, registration details or tax information. Legal invoice requirements differ by country and business type, so this checklist is not a substitute for local accounting or tax rules.
2. Identify the customer
Check the client or customer name carefully. If your customer requires a company name, department, reference number or purchase order number, add those details before sending.
3. Use a clear invoice number and date
A consistent invoice number helps you and the customer refer to the same document later. Confirm the invoice date is correct and that you have not accidentally reused a number from an older invoice.
4. Review every line item
For each product or service, check the description, quantity and rate. Vague descriptions make invoices harder to review. Use language that lets the customer understand what the charge represents without needing a separate explanation.
5. Recheck the math
Verify subtotal, discount, tax and final total. If tax applies, make sure the percentage and basis match the rules that apply to your transaction. If you are not sure about tax treatment, use appropriate professional guidance rather than guessing from a generic calculator.
6. State useful payment information
Add any relevant payment terms or notes, such as a due date, agreed payment method or project reference. Do not put sensitive payment credentials into a public or shared document unless that is appropriate and secure for your workflow.
7. Review the final PDF, not only the form
After printing or saving as PDF, open the resulting file. Check page breaks, clipped text, totals, client details and the filename. A browser preview can look correct while the printed result uses different margins.
8. Keep your own copy
If you use a browser-only invoice maker without cloud storage, save the PDF or print a copy before leaving the page. Keep records according to the requirements that apply to your business.

Invoice checklist FAQ
Is an invoice maker the same as accounting software?
No. A simple invoice maker can help format and calculate a document, but accounting software usually includes recordkeeping, customer data, payment tracking, reporting and other workflows.
Does every invoice need tax?
No single rule applies everywhere. Tax requirements depend on jurisdiction, business status and transaction type. Check the rules that apply to you.
Can I use a browser's Save as PDF option?
Yes, if your browser provides that print destination. Always open the saved PDF afterward and review it.
